Six Tips for Combating Payment Fraud

As fraud increases, so should the vigilance of you and your employees.

Payment fraud is a common type of cybercrime that continues to happen more frequently as more and more digital transactions take place. It's incredibly important for small businesses to stay alert and aware so they can spot fraudulent transactions and avoid falling victim to fraudsters. Payment fraud can lead to financial loss, and even loss of trust from customers. We hope these six tips will help you know what to look for and how to prevent it.

1. Start With a Good Payment Processor

You'd do well to start by having a trustworthy payment processor. Using merchant services that include the security features you’re looking for is key.

Not all platforms are created equal, so picking one that offers advanced encryption and fraud detection is important. These built-in safeguards are crucial for keeping your transactions safe from any unauthorized access."

2. Keep a Close Eye on Transactions

Monitor all business transactions on a regular basis. Look for suspicious activity. The quicker you're able to detect unusual transactions, the better you'll be able to spot and stop fraud. This is especially true with e-commerce.

"E-commerce platforms handle numerous online transactions, making them vulnerable to payment fraud and money laundering," says Fraud.com.** "Transaction monitoring is critical for detecting and preventing fraudulent activities by identifying suspicious patterns and taking timely action to mitigate risks, ensuring a secure online marketplace."

3. Watch for Patterns in Chargebacks

Monitor chargeback activity. Watch for patterns like frequent and unusual chargebacks as these may indicate that there is fraud happening. Respond to claims quickly and try to determine the cause in order to prevent future issues. Good merchant reporting can help you keep an eye on chargebacks and identify unusual activity.

4. Make Sure Your Team Is Well Trained

It's important to make sure that your staff is well trained in fraud detection and procedures for when it happens. Conduct regular training sessions, and create policies and guidelines that can be referenced and followed. Teach them how to recognize problems, and consider trying out simulated fraud drills. This can help them get a better sense of what to look out for. Use visual aids, such as infographics and charts that will illustrate the possible fraud tactics and how to combat them. It may even be worth offering incentives to those who are able to identify fraud as motivation for extra vigilance.

5. Verify New Customers Making Large Purchases

If a new customer makes a large or unusual purchase, it's a good idea to verify their identity. Call them directly to be sure you have legitimate information on file. Confirm shipping and billing address matches, and require a photo ID. If it's an online purchase, use IP address verification to determine if the location fits with the billing address. For international purchases, you can require a verified PayPal account or wire transfer rather than accepting a credit card.

6. Beware of Phishing

Keep your business safe from phishing scams to obtain your sensitive information. Fraudsters may use phishing to gain access to your business's payment systems, so it's critical to avoid suspicious links and attachments from emails. Make sure your employees know how to spot them and that everyone knows to avoid clicking through to illegitimate sites from legitimate-looking emails.

Check the sender's address, watch for poor grammar and typos, and hover over links to make sure the URL looks right before clicking. (Look out for extra spaces, unusual characters, etc.) Watch for attachments and avoid offers that appear too good to be true.

Payment fraud is a serious concern for any business, but you can reduce your risk of falling prey to fraudsters by implementing the above tips. Know what to look out for and educate your employees on what to watch out for, too.
