Four Tips for Managing Online Reviews

Review management can help small businesses influence perception and improve operations.

Online reviews can strongly influence how a small business is perceived. Potential customers who are unfamiliar with your business are likely to read reviews and use them to decide whether to engage. That makes reviews something worth paying attention to. Below are four tips for managing online reviews effectively.

1. Encourage More Reviews

It can be helpful to encourage more reviews. Customers who are dissatisfied are often more likely to leave reviews without prompting than those who are satisfied. Encouraging a wider range of customers to share feedback can help balance how your business is represented online and reduce the likelihood of a skewed perception.

Make it easy for customers to leave reviews by providing clear instructions and links to your preferred platforms. These reminders can be included on receipts, in follow-up emails, or on signage. Prompting customers soon after their experience can increase the chance they will respond, while the interaction is still fresh in their mind.

Avoid offering incentives for reviews. Many review platforms prohibit incentives because they can undermine credibility. Ignoring these guidelines may negatively affect how your business appears on those platforms. Focusing on delivering a positive customer experience can support organic and authentic feedback.

2. Be Quick and Professional with Responses

When you receive reviews, take time to respond promptly and professionally.

"Thank positive reviewers for taking the time to respond and letting them know their feedback is valued," says Kate Button at US Chamber.* "Address negative
reviews the same way. You can even include keywords in your responses to help
optimize your business for search engine results, further promoting your
business and driving new online traffic to your site."

Reviews create an opportunity to engage publicly, and the way you respond can influence how others perceive your business.

For positive reviews, thank the customer and acknowledge their experience. Referencing specific details from the review can make the response feel more personal.

For negative reviews, avoid sounding defensive or dismissive, even if you disagree with the feedback. Respond calmly and respectfully. Acknowledge concerns and offer next steps when appropriate, such as continuing the conversation offline. Handling critical feedback thoughtfully can support a constructive image.

3. Generate Your Own Content

Reviews should not be the only information people see about your business online. Creating your own content can help provide a fuller picture of what you offer. Many potential customers encounter businesses through search results or social media, where original content can support visibility and context.

"Creating optimized blogs, landing pages and social media posts is a core component of a search engine optimization (SEO) or online reputation management strategy," says Adam Petrilli at Entrepreneur.** "But such tactics
can also help battle and counter stubborn Google reviews, especially when they
refuse to budge from local search pages."

Focus on producing content that reflects your business values and provides useful information readers may want to share.

4. Learn from Your Reviews

Reviews can offer insights into customer experiences, both positive and negative. They can reveal what is working well and where improvements may be needed. Look for recurring themes and use them to guide adjustments.

Review feedback regularly to identify patterns. Positive comments can highlight strengths to build on, while recurring concerns can point to areas worth addressing. Viewing negative feedback as an opportunity for evaluation can support ongoing improvement.

Online reviews are a lasting part of doing business in a digital environment. Ignoring them can limit awareness of how your business is perceived. With thoughtful attention, even critical feedback can be used constructively.
